choose the right integration platform

With ever more systems in play – webshop, ERP, CRM, WMS, marketing automation and much more – integrations become a decisive part of running the business. But how do you choose the right integration platform, the one that fits your particular company’s needs?

In this guide you get a clear overview of what to consider, which features matter, and how to avoid buying too much (or too little).

First of all: why have an integration platform at all?

An integration platform works as a central hub that connects your systems and automates the data flow between them. Instead of building and maintaining bespoke integrations, you can gather it all in one place and get:

  • Fewer manual errors
  • A better overview of data
  • Faster scaling
  • Shorter time-to-market when new systems have to be connected

But not all platforms are alike – and the choice depends on your company’s size, complexity and ambitions.

1. Know your needs – and your systems

Before you look at solutions, you should start with a scoping exercise:

Which systems need to be connected?

  • Webshop (Shopify, WooCommerce, Magento…)
  • ERP (Business Central, e-conomic, SAP…)
  • CRM (HubSpot, Dynamics, Salesforce…)
  • WMS, PIM, POS, payment gateways, email, shipping…

How do you work with data today?

  • Are there manual workflows and double entry?
  • Are the integrations ad hoc and vulnerable?
  • Do you have internal resources for operations and development?

The clearer a picture you have of your current setup, the easier it is to assess what the platform needs to be able to do.

2. Important features to assess

When you compare integration platforms, you should focus on these features:

✅ Scalability

Can the platform handle more systems, increasing data volumes and growth?

✅ Visual setup and usability

Do integrations have to be built by developers – or can the business itself set up simple flows?

✅ Error handling and monitoring

Can you easily see where and when something fails – and how it is fixed?

✅ Standard integrations and API compatibility

Does the platform offer ready-made integrations for your systems – or the flexibility to build them yourself?

✅ Security and compliance

Does the platform support access control, data logging and, for example, GDPR requirements?

3. Understand the pricing model

There are different pricing models:

  • A fixed monthly price (typically based on the number of integrations or flows)
  • Usage/volume-based (API calls, data volume)
  • A hybrid model

Make sure you understand what you are actually paying for – and how the costs develop as the company grows.

👉 Do you have many systems but low volume? Then a fixed price may be the best fit.

👉 Do you have few systems but thousands of orders? Then volume pricing needs to be examined carefully.

4. Think long term – not just about the first integration

An integration platform is not only there to solve “the problem here and now”. It has to be a strategic building block in your IT architecture.

So think about:

  • Do you need to scale to new markets, languages or shops?
  • Are you going to switch ERP or CRM within 1–2 years?
  • Do marketing, support and logistics need to work more closely together?

A flexible platform makes it easy to connect new systems – without everything else breaking down.

5. Make a comparison checklist
